Office Administrator (Full-Time)

Business Office - Charlottesville, Virginia

We’re looking for an Office Administrator who can keep our office running smoothly and support various departments as needed. This role involves answering phones, ordering supplies, supporting basic accounting functions, and ensuring the office stays organized and professional.

The ideal candidate is someone who’s dependable, detail-oriented, and comfortable with shifting responsibilities – tasks may come from different team members and may evolve or be reassigned over time. We need someone who’s ready to jump in, take ownership of small but important functions, and adapt as the business grows.

Key Responsibilities:

General Office Support

  • Answer and route incoming phone calls professionally
  • Keep the office and reception area clean, stocked, and organized
  • Manage weekly company lunch orders and occasional office errands
  • Order and track office and factory supplies as requested
  • Organize, scan, and file documents (physical and digital)

Team Support

  • Assist various team members with administrative tasks as assigned
  • Help the Controller with accounts payable and receivable (invoice tracking, vendor follow-up, data entry)

Other Duties as Assigned

  • Tasks and responsibilities may shift as business needs change
  • Flexibility and willingness to take on new or temporary duties is essential

Qualifications

  • 2+ years of administrative or office support experience preferred
  • Proficient in Microsoft Office (Outlook, Word, Excel)
  • Familiarity with QuickBooks or similar accounting software a plus
  • Strong organizational skills and time management abilities
  • Comfortable handling confidential information with discretion
  • High level of professionalism and attention to detail
  • Excellent communication skills – written, verbal, and interpersonal
  • Proactive, flexible, and able to manage shifting priorities
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred

Work Environment

  • This role is fully on-site
  • Standard office hours, Monday–Friday 9 AM – 5PM
  • Regular use of computers, phones, printers, and general office equipment
  • Some light lifting (office supplies, etc.)

Pay:

  • Range: $19–$21/hour, based on experience and skills.
